You can now jump right away into defining your catalog items and order guide from Hire2Retire’s workflow, with its integration with ServiceNow. And save time on creating tickets by utilizing features like: managing catalog items and order guides.

ServiceNow is one of the most used software by most companies as it provides distinctive features. Features like order guides and catalog items are essential for IT to manage ticketing and simplify the management of orders for employees. And are essential for resource assignment and service management workflows.

Let’s have a look at how the new ServiceNow Order guides & Catalog Items can be used within Hire2Retire Phase 8.4.

Hire2Retire has directly integrated ServiceNow’s Order Guide and Catalog Item capabilities. Users can now create attribute-based rulesets in their Hire2Retire workflows that automatically assign specific catalog items to accounts during lifecycle events. Similarly, users can trigger Order Guides for lifecycle events to submit multiple service requests in a single, guided process.

Why Have This Feature?

Hire2retire with ServiceNow allows users to customize the employee lifecycle stage, automating resource and asset management. At which catalog item requests and order guides can be initiated within the instance. Let’s delve deeper into this feature by illustrating its execution with an example.

Suppose your organization recruits a new team of employees and wishes to pre-order all necessary devices for their use. During various employee lifecycle stages, generating tickets plays a significant role in user onboarding, Managers often request the assignment of gadgets and assets like specific documents whenever a user is added.

How To Implement This Feature Within Hire2Retire? 

To accomplish this, you can select the “Onboarding” workflow from the “Hire2Retire” process and initiate the pre-order of devices. Additionally, you can determine the quantity of items each employee will require based on their departmental role.

Next, you can select the department to which the newly hired employees belong and add the catalog items for their use. For instance, if you want to order one laptop, one mouse, and one desktop screen for all the IT department employees, you can proceed as follows:

Step 1: Choose the employee lifecycle stage in which you want to raise this request.
Step 2: Specify the department to which the onboarded user belongs.
Step 3: Adjust the quantity based on the different item types.
Step 4: Once a user is added, a ticket will be created containing listed items, and a designated individual will initiate the pre-order process.

Under the lifecycle business rules section, select the appropriate leave type(s) to enable based on your organization’s policies.

Order guides will help you prepackage catalog items. You can pre-select an order guide from the list or create a new one. Then you can either send the order guide to a user or create one if the one you want to select doesn’t exist.
If your user doesn't exist, create a new user within order guide
