Situation

Center for Sustainable Energy (CSE) is a California based nonprofit organization that provides clean energy program administration and advisory services. In addition to being experts in the field of energy efficiency, performance buildings, and renewable energy, they offer energy audits, energy feasibility studies and consulting services. They also offer information technology backbone that provides Customer Relationship Management (CRM) and facilitates commercialization, funding and access to energy rebates and incentives. 

To support their operations and growth, CSE needed HR (Human Resources) Automation to effectively manage employee lifecycle management and identity and access control. This need was key to hiring, retaining and providing a great “First Day at Work” experience to talent so critical to their business operations. 

Struggles and Pains

Absence of an automated process for managing hiring, change of roles, and terminations (collectively employee lifecycle management) meant that a lot of manual work and account creation was done by highly skilled IT sysadmin resources The current state was costly and often led to delays in creating AD accounts, emails, and in providing required application access to the employees. There was also the opportunity cost of what highly skilled resources could do if  they were freed from these routine, mundane and boring tasks. 

Resolution

Center for Sustainable Energy implemented a fully automated and managed Employee Lifecycle Management and Identity Provisioning solution from RoboMQ aka Hire2Retirethat processed HR employee events from ADP in real-time and created accounts with roles and access privileges in AD (Active Directory).  

With this automation in place new hire were created fully setup with access to systems and email accounts providing a superior “First Day at Work” experience. The profile updates were timely ensuring up to date org structure. The terminations were handled immediately and appropriately with removal of access preventing potential data and security risks. Thus, Center for Sustainable Energy’s employee provisioning experience was enhanced by:
