Haffner Energy: Innovation Empowered Sustainability

For over three decades, Haffner Energy has been recognized as a pioneer in clean fuels and biomass thermolysis technology. With 32 years of experience, 15 years of intensive R&D, and more than 80 international patents, the company has successfully deployed 40 cogeneration projects across Europe and Africa, generating over 600 MW of clean energy.

As the organization expanded its global footprint and workforce with 1,200+ employees it faced challenges in ensuring secure, efficient, and compliant management of its workforce across the employee lifecycle. From onboarding to offboarding, and everything in between, the Joiner–Mover–Leaver (JML) process had become a critical area of focus.

To address these challenges, Haffner’s partnered with Hire2Retire, an automation solution designed to streamline HR-to-IT workflows by integrating Paylocity (HR system of record) with Hybrid Active Directory (IdP). Read on to find out how Hire2Retire helped Haffner’s transform its JML Management.

The Challenge of Manual JML Processes

Haffner’s struggled to effectively manage employee lifecycle events, as well as identity and access control. A small team of Sysadmins had to manually sync 1,200 employee profiles from Paylocity to Active Directory (AD) and Entra ID (Azure AD), which led to inefficiencies and errors in the access provisioning process. Before implementing Hire2Retire, Haffner’s Energy relied heavily on manual processes to manage employee accounts. HR would track onboarding through Paylocity, while IT would manually create or deactivate accounts in Active Directory. This disjointed process led to several pain points:

Delayed onboarding: New employees often waited several days to gain access to essential systems, slowing down productivity from day one. Industry studies confirm this is not unique: only 12% of employees rate their onboarding as effective, and 20% quit within the first 45 days due to poor onboarding.

Inconsistent offboarding: Terminated employees occasionally retained access beyond their departure. With no process for handling employees termination, HR and IT teams were stretched thin, spending hours coordinating tasks across systems. These gaps not only created operational inefficiencies but also exposed the organization to potential data risks and audit findings, highlighting the urgent need for automation.

No leave-of-absence process: Employees on extended leave were treated as active users, creating problem areas in both access rights and compliance oversight.

For a clean energy leader with sensitive intellectual property and international operations, these gaps were unsustainable. Haffner Energy needed a modern, automated approach to JML that aligned HR and IT while reducing risks.

The Solution: Hire2Retire Automation

Haffner Energy turned to Hire2Retire to automate the employee lifecycle. The platform integrated their HR system Paylocity with Hybrid AD to eliminate manual steps, reduce human error, and ensure consistent access provisioning.

1. Establishing a Reliable Data Foundation

The first step in the Hire2Retire implementation was to create a consistent data backbone across systems. Employee IDs were populated in Active Directory to serve as unique identifiers, ensuring HR and IT records aligned seamlessly. Connectivity between Paylocity to Active Directory was then established, enabling real-time data synchronization. This foundation eliminated manual data entry errors and created the reliability needed for automated workflows.

2. Automating Onboarding

To eliminate delays in granting system access, Hire2Retire was configured to automatically generate accounts in Active Directory based on onboarding status in Paylocity. Accounts were pre-provisioned and activated on each employee’s official start date, ensuring new hires were productive from day one. Standardized time zones enforced password policies, and automated monitoring reports further strengthened the process. By removing bottlenecks, Haffner’s significantly reduced onboarding friction and provided a smoother start for every employee.

3. Streamlining Offboarding

Hire2Retire also transformed the offboarding process by automating account deactivation. Employee accounts tied to a termination date were automatically disabled at 5 PM on their final working day, while immediate terminations triggered instant access revocation. Additionally, the IT team configured synchronization of the “Disabled Users” organizational unit with Office 365, which supported mailbox conversion and secure sharing of data when required. This automation ensured that no employee retained unauthorized access after departure, strengthening both security and compliance.

4. Lifecycle Management and Governance

Beyond onboarding and offboarding, Hire2Retire enabled better management of the full employee lifecycle. HR data mapping was completed to capture key identifiers such as employee ID, names, and attributes, while workflows were configured up to the Lifecycle Business Rule stage. Automated email notifications improved visibility and communication between HR and IT teams.

By adopting Hire2Retire, the company eliminated its pressing JML risks while improving the employee experience. New hires start strong, leavers are offboarded securely, and HR/IT collaboration has been transformed.
