RUN Studios relies on a fully manual process to synchronize its HR system and IT infrastructure. Every time an employee joined, changed roles, or left the organization, someone in HR had to raise a help desk ticket. Then an IT team member would pick it up, create or modify the user account in Azure Active Directory, assign the right group membership, and set up necessary access.
While it sounds manageable, for a workforce that can nearly double during a busy production, this became a constant drag on both teams.
Some challenges faced by RUN studios were:
Slower onboarding: New hires sometimes had to wait hours before their accounts were ready, slowing their ability to contribute from day one.
Delayed offboarding: Manual offboarding led to delayed access revocation, allowing former employees to retain sensitive system access beyond their last working day. This created significant security vulnerabilities and pressing compliance risks.

Using a secure SFTP-based extract from Paycom, Hire2Retire picks employee data and maps it directly into Entra ID. This saved RUN studios from Paycom’s costly API.
When a new hire is created in Paycom, Hire2Retire automatically creates their user accounts, provisions the right access to them, assigns them to the right group, and sends a welcome email when they log in. All of this without any help desk ticket being raised by HR. This frees the IT team from the repetitive work of account setup so they can focus on work that actually needs their expertise.
For terminations, Hire2Retire handles both scheduled and immediate separations. When HR marks an employee as terminated in Paycom, the system disables the account in Entra ID, removes group memberships, and revokes access in a matter of minutes. No lag, no forgotten accounts, no security gaps left open between payroll and IT systems.
Even role changes, leave of absence, and department transfers are handled the same way. Every time something changes in Paycom, Hire2Retire picks it up and applies the right update in Entra ID. This keeps the data accurate across systems without anyone having to manually cross-check it.
