Construction industry mostly depends on their digital systems to manage, collaborate, and communicate internally. Employees in every department need to be able to access the right systems from day one, including Microsoft 365, internal systems, and shared resources.

About Tata Steel Colors

Tata Steel Colors (earlier known as Tata BlueScope Steel Limited) is a renowned manufacturer in the building materials industry. The organization produces coated steel products used for roofing, walling, and other structural elements in residential properties, commercial buildings, and factories. With approximately 650+ employees utilizing various digital systems, HR, IT, and other departments work collaboratively. 

The organization uses SAP SuccessFactors as an HR management tool and Active Directory as an Identity management tool. It is important for both productivity and security to ensure that employee information and address lists are accurately maintained across systems such as HR platforms and Active Directory. 

Challenges: Identity and Access Management Across HR and IT Systems

Here are some core difficulties Tata Steel Colors was facing before deploying Hire2Retire within its organization:  

1. Creating User Accounts Manually

The IT department had to create a user account in active directory manually every time someone joined the company. It took a lot of time because of the several steps, like creating the user account, putting them in the right groups, and giving them a Microsoft 365 license. 

2. Delays in First-Day System Access

New joiners need access to several systems to start their work on the first day. These include Microsoft 365, applications, email, and shared directories. But whenever this is done manually, there is often a delay. This is because the process includes multiple steps. It requires the IT administrator to obtain information from HR, raise multiple tickets to get access, and then add the employee’s account. 

Tata Steel Colors faced the same challenge because these processes were handled manually. As a result, some new employees did not receive full access to the required systems on their first working day, which delayed their ability to start work and affected productivity. 

3. Complex Microsoft 365 License Management

Another issue the organization was facing was proper license management. The company has over 650+ employees, and different employees require different Microsoft licenses. For instance, some employees may need basic collaboration licenses, while others may need advanced product licenses. It was quite challenging for the IT department to manage these licenses for every employee because there were no automation rules.  

4. Limited Rule-Based Access Automation

For automation platforms, it is necessary to define clear rules that determine how access should be granted. Such rules may include the department, job role, employee category, and even location. 

Before Hire2Retire, there were limited rules that had not been documented or standardized in the company. This affected the automation of processes such as license management, security groups, and even access. 

Solution: Automating Employee Lifecycle Management (ELM) with Hire2Retire

To address all the above-mentioned challenges, Tata Steel Colors decided to implement Hire2Retire within its organization. They wanted to automate the identity lifecycle management between SAP and Hybrid Active Directory, and Hire2Retire helped them with the same. Here are some key outcomes the organization received: 

1. Automated User Account Provisioning

The Hire2Retire system retrieved all the required employee data directly from SAP SuccessFactors, including the employee’s name, department, title, and ID. This information was then used in Active Directory to create a new user account, ensuring that Tata Steel Colors no longer needed to provision employee user accounts manually. 

2. Continuous Employee Data Synchronization

Employees’ data was subject to various changes throughout their time with an organization. It could be due to changes in departments, job profiles, or organizational structures. Once Hire2Retire was deployed within the organization, it ensured that data was continuously synchronized between SAP SuccessFactors and Active Directory. 

This implied that as soon as HR updated the data in SAP SuccessFactors, it was immediately reflected in Active Directory. This ensured that Tata Steel Colors had clean data within both HR and IT systems. 

3. Automated Offboarding for Enhanced Security

Removing system access quickly when employees leave the organization was important for maintaining security. With the implementation of Hire2Retire, whenever HR updated an employee’s data in its HR system to indicate termination, access to that employee’s account was automatically disabled in Active Directory.  

4. Rule-Based Access Management

Hire2Retire also assisted Tata Steel Colors in rule-based access management. The company established rules based on its employees’ attributes, including department, type, and roles. This was critical for managing the groups effectively, allocating Microsoft 365 licenses, and granting access rights.

The implementation of Hire2Retire means that SAP SuccessFactors serves as the source of truth for all employee data. Therefore, all identity information flows automatically from HR systems to IT systems, eliminating discrepancies between both systems and keeping all employee records in sync. 

4. More Secure Access and Governance

Provisioning and deprovisioning are processes used to create, update, and disable user accounts across systems. HR can disable employees account in real time as soon as they leave, preventing further access to company resources. By limiting employees’ access to company’s resources, a more secure environment is created.
