As organizations grow, employee identity data often becomes fragmented across HR systems, Active Directory environments, cloud identity platforms, and business applications. This creates operational delays, inconsistent user information, and increasing administrative overhead for IT teams.
VXIT, a managed service provider supporting clients across complex IT environments, encountered this challenge while helping a financial sector customer modernize identity lifecycle operations. The customer used Paylocity as its HR system and maintained a hybrid identity infrastructure built on on-premises Active Directory and Microsoft Entra ID.
Initially, the goal was to synchronize employee information from Paylocity into Active Directory and maintain ongoing updates automatically. However, during discussions with the customer, it became clear that the organization needed more than basic synchronization. They needed a scalable framework for onboarding, identity updates, access governance, and lifecycle automation across their hybrid environment.
According to a 2025 IAM maturity report by GuidePoint Security and the Ponemon Institute, organizations continue to struggle with IAM maturity largely because of manual processes, underinvestment in automation, and disconnected identity workflows.
To support these requirements while meeting an aggressive deployment timeline, VXIT partnered with RoboMQ Hire2Retire.
VXIT is an information technology services provider delivering managed IT services, infrastructure management, cloud solutions, and technology consulting. The company works closely with organizations that require secure, reliable, and scalable IT operations.
For this engagement, VXIT’s professional services engineers were supporting a financial services customer operating within a hybrid identity environment. The customer relied on Paylocity as the central source of employee information while using both on-premises Active Directory and Microsoft Entra ID for identity and access management.
Because employees accessed both cloud and on-premises resources, identity data needed to remain synchronized and accurate across systems at all times. Manual processes were beginning to create operational inefficiencies and increased risk as the organization continued to grow.
The customer had already centralized workforce data inside Paylocity, but identity updates across Active Directory and Microsoft Entra ID still required significant manual effort. As employee roles changed, departments shifted, or new hires joined the organization, IT administrators had to manually update attributes, group memberships, and related identity records across multiple systems.
This process introduced several operational and security concerns.
● Employee profile updates were not consistently reflected across identity systems.
● Manual changes increased the risk of outdated access permissions.
● Hybrid identity synchronization added administrative complexity.
● Existing processes were difficult to scale as the workforce expanded.
The customer’s hybrid infrastructure further complicated identity management. Their on-premises Active Directory environment synchronized identities into Microsoft Entra ID through Entra Connect, creating dependencies between cloud and on-premises systems. Any inconsistency in identity data could impact user access to internal infrastructure, Microsoft 365 services, and cloud applications.
Beyond synchronization, the customer also wanted to establish a stronger foundation for future identity lifecycle automation. They needed a platform capable of supporting onboarding, offboarding, role-based access management, distribution group updates, and audit visibility without relying on disconnected scripts or manual workflows.
At the same time, the project operated on an accelerated timeline. VXIT needed a solution that could quickly establish automated identity synchronization while supporting long-term operational scalability.
VXIT selected Hire2Retire by RoboMQ to automate identity synchronization and lifecycle management between Paylocity and the customer’s hybrid Active Directory environment.
Hire2Retire provided native integration capabilities for Paylocity, Active Directory, and Microsoft Entra ID, allowing VXIT to implement automation without building custom integrations or maintaining manual synchronization processes.
The platform established Paylocity as the authoritative source for employee identity information. Changes made inside Paylocity automatically synchronized across Active Directory and Entra ID environments, ensuring employee records remained accurate and up to date throughout the organization.
Hire2Retire also enabled lifecycle automation beyond basic synchronization. The platform supported onboarding workflows, employee transfers, role changes, leave management processes, and timely offboarding activities. This allowed the organization to reduce manual administrative work while improving operational consistency across identity systems.
Additionally, the solution automated the management of security groups, distribution lists, and Microsoft 365 groups across both cloud and hybrid environments. As employees changed roles or departments, access permissions and group memberships could update dynamically based on HR-driven data changes.
Key capabilities implemented included-
● Automated synchronization from Paylocity to hybrid Active Directory
● Lifecycle automation for onboarding, transfers, and offboarding
● Dynamic management of groups and access permissions
● Audit visibility and tracking for lifecycle activities
The platform also provided centralized workflow visibility and audit trails that helped support governance initiatives and compliance objectives associated with frameworks such as SOC 2 and ISO 27001.
Another important factor for VXIT was ongoing support. RoboMQ’s implementation and support teams worked closely with the customer throughout deployment, helping configure workflows around the organization’s operational requirements while remaining available for future enhancements and process adjustments.
By implementing Hire2Retire, VXIT helped its customer transition from manual identity administration to an automated HR-driven identity lifecycle framework.
The organization reduced the administrative burden associated with maintaining employee identities across hybrid systems while improving synchronization accuracy between HR and IT platforms. Employee updates originating in Paylocity flowed automatically into Active Directory and Entra ID, reducing delays and minimizing the risk of inconsistent identity information.
The automation framework also improved governance and lifecycle visibility. Timely provisioning and deprovisioning workflows helped strengthen access control practices while supporting compliance and audit readiness initiatives.
As a result, the customer gained several operational advantages-
● Reduced manual identity management effort for IT teams
● Faster synchronization of employee changes across systems
● Improved access governance and lifecycle consistency
● Stronger audit visibility and compliance readiness
Most importantly, the organization established a scalable foundation for future lifecycle automation initiatives across its hybrid infrastructure.
What started as a requirement to synchronize Paylocity with Active Directory evolved into a broader identity lifecycle modernization initiative.
VXIT needed a solution capable of connecting HR and IT systems while supporting hybrid identity management, lifecycle automation, and future scalability. With Hire2Retire by RoboMQ, the organization was able to automate employee identity workflows, reduce manual operational effort, and improve governance across its hybrid environment.
By transforming HR data into automated identity actions, VXIT helped its customer build a more efficient, secure, and scalable identity management process.
