What happens when a company’s growth outpaces its internal systems?
Internal systems such as your HR software, employee identity platforms and IT provisioning workflows are meant to work together. But when they don’t, even the simplest processes like onboarding become a major source of delay and friction.
As per AIHR, the average cost of onboarding a new employee is $1,400, along with the time HR and IT invest on setup. When organization’s identity and access systems are not in sync, the result isn’t just delay. It is also confusion, security risks such as orphaned accounts and lost momentum for new hires from day one.
In this case study, we’ll discuss how EXO, a fast-growing company, improved its lifecycle management processes by using Hire2Retire, automate access and resource provisioning through zero-touch, identity-first workflows. This transformation enabled EXO to build a secure, scalable foundation that eliminated delays, closed security gaps, and streamlined IT and HR operations across their entire workforce.

Situation

An industry leader in construction solutions, Exo is a utility and lighting infrastructure asset management company. It manages structural integrity across the lifecycle by providing maintenance and quality assurance services for lighting poles, transmission towers and other infrastructure assets. Its suit of services includes asset management for Power Delivery, Lighting, Renewable Generation, Telecommunications, Conventional Generation, and Oil & Gas.
Founded in 2002 as Reliapole Inc., the company was initially focused on utility and traffic pole manufacturing. In year 2009, the Exo that is known today was born. Over the past decade, EXO expanded rapidly across the U.S., growing from a regional firm to multi-state facility with over 2,000 employees across different locations. However, as their business scaled, their workforce lifecycle management processes couldn’t keep up. Every new employee onboarding became a challenge and every termination a security risk.

Struggles and Pains

Exo was using Paycor and Hybrid AD for identity management. However, their HR and IT systems were operating in isolation. When HR onboarded new employees in Paycor, IT had to manually create their AD and access accounts, assign credentials and share updates with the relevant team. This manual and disconnected approach often led to missed steps, access delays and mounting pressure on the IT team.

As EXO scaled, this setup became their growth roadblock. The manual way of employee lifecycle management was no longer scalable. Their new hires had to wait for days to get necessary access. There was no automated offboarding procedure in place, communication was inconsistent, and IT was overwhelmed with laborious tasks.
Manual provisioning created more than just inefficiencies, here’s what business risks EXO faced:
1. Manual onboarding delays: New hires often had to wait 24 to 48 hours to get access to apps, email, and resources.
2. High IT Workload: Over 50 employee records per month required manual attention, generating recurring helpdesk tickets. IT had to be informed manually every time a new employee needed an access or system configuration, resulting in more delays.
3. Security Vulnerabilities: Without automated offboarding process, terminated employees retained access, posing security threats.
4.Inconsistent Setup: There was no standard process for provisioning access and resources, different departments followed different workflows.
The cost wasn’t just operational; it was also cultural. On one side, such delays and inconsistent experiences lowered morale and enthusiasm of new hires. On the other, IT team was tied up in low-value, repetitive tasks, feeling dissatisfied and frustrated.
Exo needed a better way of Identity and Access Management, something scalable, secure and, automated.

Resolution

To overcome their access management challenges and enable automated onboarding, EXO turned to Hire2Retire. Hire2Retire by RoboMQ is an automated enterprise-grade suite built to manage identity lifecycle across the employee journey. Hire2Retire automates the entire JML process with no-code workflows, streamlining HR, IT and security functions. By integrating Paycor to Hybrid AD, Hire2Retire ensured automated workforce lifecycle management for Exo. Here is how this integration works.
Paycor to Hybrid AD flow

The results?

1. Automated JML Management: Every joiner, mover and leaver event from Paycor triggered automated identity updates in AD, including profile creation, access rights and deactivation. The provisioning time became 3x faster.
2. Attribute Mapping and Employee Identity Consistency: Employee attributes such as department, job title and location were automatically mapped from Paycor to Hybrid AD fields (e.g., Name, UPN, Security Groups), ensuring consistency across systems. This led to a 60% drop in identity-related IT helpdesk tickets.
3. Automated Access and Resource Provisioning: Access and privileges were assigned automatically based on job roles and departments, removing guesswork and improving governance.
4. Automated Communication: Lifecycle based custom email templates triggered automatically for onboarding, transitions, and offboarding, reducing miscommunication.
5. Service Desk Integration: Hire2Retire integrated with EXO’s service desk, automatically triggering provisioning tasks at employee lifecycle events.
With Hire2Retire as identity and access management solution, EXO transformed a slow, error prone workforce lifecycle management process into a fast, reliable and secure operation.
Hire2Retire delivers a future-proof, identity-first foundation that scales with your business, whether onboarding 100 or 1,000 employees. By automating last mile provisioning and eliminating manual tasks, it enables true zero touch IT and self-service, so companies can grow securely without losing control.
