Garland Group is a manufacturing company based in Toronto, Canada, with over 250 employees. They design and manufacture products for commercial and industrial markets, where accuracy and data security are critical to daily operations.

Their HR processes run through ADP, and identity management runs on a Hybrid Active Directory environment. An internal IT team handles user provisioning and access control. As the company grew, managing employee identities manually became increasingly difficult to sustain.

The Challenges the Garland Group Was Facing

Garland Group was facing several challenges in managing employee access, identity lifecycle events, and access governance across the organization. 

1. Everything Was Handled Manually

Creating the Active Directory user profiles for new hires was a manual process that required IT to do all the work without any automatic triggers from ADP. Notice would be given to the IT department about two weeks before a hire was supposed to come aboard. Onboarding was done through a series of manual steps. 

Offboarding also involved a similar process. Since this was not an automated process, delays and mistakes were often made that resulted in former employees having access beyond their period. This could have serious implications for a manufacturing company like Garland that deals with sensitive business and operational information. 

2. Updating Active Directory Data

Information in Active Directory was not updated automatically when users got promotions, changed departments, or positions. This meant that these updates had to be done manually. The inability to synchronize ADP to the Active Directory meant that user profiles became out of date and, consequently, access was also incorrect. 

3. Their Previous Automation Tool Had Been Retired

Garland Group had previously used Microsoft Identity Manager (MIM) for parts of their identity automation. When MIM was retired, the team lost that automation and returned entirely to manual processes. They needed a modern, dependable replacement, one that was easier to manage and could cover the full employee lifecycle.

1. Connecting ADP to Hybrid Active Directory

Hire2Retire connected ADP to Garland Group’s Hybrid Active Directory using an SFTP-based integration. Every change in ADP, a new hire, a role update, or a termination, automatically triggered the corresponding action in Active Directory. It no longer waited for HR notifications or worked through manual checklists.  

2. Automated Onboarding, Offboarding, and Role Changes

Hire2Retire automated all three core lifecycle events. New hire accounts were created in Active Directory the moment a record appeared in ADP. Role changes synced immediately, keeping profiles and access current. Terminations triggered instant account deactivation, no manual steps, no delays.  

3. Role-based Access Control

Hire2Retire provided roles and access according to the job position of every employee. The information for all the data was taken from ADP. Whenever there was any change in role, it would be updated automatically. There were no manual updates made in Active Directory by IT. 

4. Audit and Compliance

With Hire2Retire, Garland Group was able to manage audit trails and ensure its compliance readiness through automatic identity lifecycle events monitoring. Every single event, including onboarding, changes in roles or access, as well as terminations, was automatically logged in real-time. This allowed IT staff to have clear knowledge about which users always had access to which resources.
