The Challenges

Thompson Holdings is operating in a hybrid Active Directory environment that spans across on-prem and cloud tenants. Thereby, the IT team is responsible for identity management across multiple email domains, organizational units (OUs), and subsidiary structures. 

Despite strong internal processes, Thompson Holdings’ IT team faced persistent friction in employee lifecycle management. Their onboarding workflow was a patchwork of manual intervention that did not scale with their expanding company structure. 

Some of the challenges they dealt with are: 

Manual HR Data Imports: Paylocity data required weekly manual exports and imports into Active Directory, causing errors and delays. 

● Last Minute Onboarding Requests: Field service employees were frequently onboarded with less than 24 hours’ notice, sometimes an evening before the joining date. This resulted in compliance gaps and onboarding delays. 

● Disconnected Systems: No automated integration existed between Paylocity, Active Directory, FreshService, and the ERP. This forced staff to manually coordinate across platforms for every joiner-mover-leaver event.

Automated Provisioning and Deprovisioning: When a new hire record appears in Paylocity, Hire2Retire automatically triggers downstream actions, including Active Directory account creation, security password generation, assigning group memberships based on role, and provisioning Microsoft 365 licenses, without human intervention. For terminations, the system supports both standard and sensitive offboarding workflows with time zone-aware, scheduled account deactivation. 

Vendor-Neutral Architecture: With the team at Thompson Holdings exploring a future migration from Paylocity to Workday. Hire2Retire’s ability to support multiple HR systems with minimal reconfiguration ensures that the company’s investment in the platform will remain durable in the long term.

FreshService Integration: Hire2Retire integrated with FreshService (Service Desk) to automatically create equipment request tickets as part of the onboarding process. This shifted the focus of IT intake forms from account creation to hardware provisioning. 

Lifecycle Event Communication Hub: Hire2Retire communication hub sends personalized, templated emails to employees and stakeholders at key lifecycle events. This provided HR with greater visibility and improved employee experience across subsidiaries. 

Compliance Reporting: Hire2Retire provides detailed reporting onboarding, offboarding, and role-based access changes, directly supporting ISO 27001 audit requirements without additional manual documentation.
